Rescheduling/Cancellation Policy

Group Lessons:

With Prior Notice from Student: Catch-up lesson available at $38/hr.

No Notice Given & No Catch-Up Lesson Required: The lesson fee is forfeit.

Switching Between Group Classes: Not allowed. Permanent class time changes (subject to availability) incur a $22 administration fee.

Private Lessons:

To provide more flexibility for our students, we are introducing a credit system for advanced notice cancellations. Here are the details:

Prior notice given by students more than one week

Credit for Advanced Notice: For lessons canceled with over one week’s notice and not rescheduled, the payment will be credited as a Casual lesson for the next invoice. Any difference from the weekly lessons’ carried-over amount must be paid.

Rescheduling Limitations: Within the original 4-week invoice period. Off-peak to peak time rescheduling will incur a fee difference.

Prior notice given by students less than one week

Rescheduling is available within two weeks after the scheduled lesson with a $22 fee; otherwise, the lesson will be forfeited if it can’t be rescheduled within two weeks.

No Show or Late Notice less than two business days’ notice

The full lesson fee is forfeited with no rescheduling available. A new lesson may be booked at the full casual rate.

The legal stuff.

General

Japanese Melbourne offers Japanese language classes over six terms per year. Each term runs for eight weeks. Students have the choice to participate in group classes or individual classes. Students can also come as casual participants and pay for each lesson as they go.

I. Agreement

This agreement constitutes a binding contract between the Student and Japanese Melbourne. The Agreement is made up of these terms. You must ensure that you read, understand, and abide by the Agreement. Students under 18 years of age must have a parent or guardian co-sign the Enrolment form before their application will be approved. Payment of fee and/or attendance of lessons is considered acceptance of this agreement.

II. Location

All classes will be held at Level 4, 258 Little Bourke Street, Melbourne in the state of Victoria.

III. Payment

All fees to be paid must be in Australian currency. We reserve the right to refuse entry into a lesson if fees are not up to date. Fees are not transferable to another student. Fees are not transferable to another term or teaching period.

III(a). Single lesson fee

Payment of all fees for single lessons must be made at the time of booking the single lesson. Payment can be made by credit card or direct debit into the Japanese Melbourne Account.

IV. Enrolment

If the Student has purchased a term package, their enrolment commences on the first date of the school’s term; provided that:

a) the Student has returned a completed Enrolment Agreement Form or provided their contact details; and

b) we have received a deposit for the Student’s lessons.

V. Privacy Statement

In processing your Enrolment and throughout your Enrolment period we obtain personal information about you. The School will only use, disclose or deal with such information to the extent specifically required by law or for the purposes of this Agreement and/or your Enrolment.

VI. Policies

Students agree to comply with lawful directions and policies of Japanese Melbourne.

We reserve the right to change the teacher at any given time with or without notice. Teachers cannot be specified by students for group lessons. Private students may pay a $50 fee per 8-week invoice to specify their teacher, but this is also subject to class availability. This fee will be passed on to the teacher.

VII. Ongoing enrolment

If a Student has been enrolled in the term prior to the term he/she wishes to apply for; or has been enrolled at some stage in the same calendar year of the term he/she wishes to apply for, the Student does not need to provide another signed Enrolment Form and the same terms and conditions will apply.

VIII. Cancellation and refund policy

Student-Initiated Cancellations: If a student cancels a scheduled lesson within three days before the start, a cancellation fee of $50 will be applied. Students are encouraged to notify Japanese Melbourne as soon as possible via phone at 0430 103 660 or email at admin@japanesemelbourne.com.au to minimize potential charges.

School-Initiated Cancellations: In the rare event that a term or any remaining sessions are canceled by Japanese Melbourne, students will receive a full refund for all canceled classes.

Student Absences: Students who are unable to attend a scheduled lesson must notify Japanese Melbourne as soon as possible by phone at 0430 103 660 or via email at admin@japanesemelbourne.com.au. Subsequent actions will be in accordance with our Rescheduling/Cancellation Policy.

School Cancellations: If Japanese Melbourne cancels a lesson, we will organize a make-up lesson and notify students of the new time and date accordingly.

Enrollment Cancellation: Japanese Melbourne reserves the right to cancel a student’s enrollment without prior notice due to serious inappropriate behavior that is antisocial, offensive, or poses a safety risk.

IX. Photography Permit

Consent for Photography: By participating in activities at Japanese Melbourne, students grant the school permission to take photographs during sessions and events. These images may be used for promotional purposes, including but not limited to online and print media.

Rights Transfer: Japanese Melbourne retains the right to transfer any photographs taken to third parties for further promotional use without prior notice to the participants.

Privacy and Opt-Out: Students who do not wish to be photographed must notify the administration in writing at the beginning of their enrollment or event participation. Japanese Melbourne respects the privacy of its students and will make reasonable efforts to limit the use of photographs in which opt-out individuals are clearly identifiable.

X. Variation

This agreement may be varied from time to time at the discretion of Japanese Melbourne. The Student will be advised of any such changes in writing 30 days before the changes come into effect. Such changes may include the increase of fees from one term to another. Any changes that the Student has not been advised of will not be valid.

XI. Miscellaneous

If part or all of any provision of this Agreement is deemed void or unenforceable, it may be severed from this Agreement and the provisions that remain will continue in force unconditionally. If the School does not enforce any rights in this agreement for any reason, the School does not waive its right to enforce it later.
